Generative AI Author Policy

International Conference on Higher Education · Version 1.0 · Effective [conf_ai_policy_effective_date]

1. Policy on the Use of Generative AI and AI-assisted Technologies

Authors may use generative AI and AI-assisted technologies in manuscript writing only to improve the language and readability of their own text.Such use must be disclosed, identifying the tool and its purpose.

Authors must review the output and remain fully responsible for the accuracy, originality and references in their submission. AI tools cannot be listed as authors or used to fabricate research data, findings or references.

Basic spelling, grammar, punctuation and reference-formatting checks do not require disclosure. Generative rewriting does require disclosure.

This writing policy does not prohibit AI as a research method. Where AI forms part of the research, its use must be clearly described in the methodology.

2. What the rule means

Permitted writing assistance: improving the expression and readability of text written by the authors, with disclosure and human checking. Disclosure does not make prohibited fabrication acceptable.

Author responsibility: the research, reasoning and conclusions must be the authors' own. Verify every fact and citation; a tool cannot take authorship or responsibility.

Basic-tool exception: routine spelling, grammar, punctuation and reference-formatting checks need no declaration. If a tool generates or rewrites text beyond those checks, disclose it — a feature called "grammar" is not exempt if it rewrites.

Research methods: when AI is a research tool or part of the study, explain its role and relevant reproducibility details in the methodology. Research about AI in higher education is welcome; this policy limits only writing assistance.

3. How to disclose

How to disclose
MaterialHow to disclose
Abstract-only submissionUse the separate AI-use declaration in the submission form. It is not counted in the abstract word count and is not appended to the abstract.
Full paper supplied at submissionUse the form declaration and include the same statement in the manuscript immediately before the References.
Revised abstract or later full paperInclude the declaration with the revised material through the update link in your confirmation email; a full-paper file also carries the statement before the References.
AI used as a research methodDescribe it in the methodology; in an abstract-only submission, in the abstract's methods wording. Disclose writing assistance separately if it was also used.

Statement guide

"The authors used [tool/service] to [describe the language/readability task]. They checked and edited the output and accept responsibility for the submitted content."

A declaration-only correction can be sent through the update instructions in your confirmation email while the relevant window is open. Neither a declaration nor its receipt reopens a deadline or guarantees alteration of an issued publication. The declaration is stored with the relevant version and accompanies the published material where required; no private contact details are exposed as part of it.
