Call for Papers

Mode of Presentation

Accepted research is presented in one of three formats: an oral presentation at the venue, a poster presentation at the venue, or a live virtual presentation online. Presenters submit their work for double-blind review and register after acceptance. This page explains each format and how to prepare.

  • Standard presentation allocation: Presentations normally allow 15 minutes per presentation. Your exact slot and Q&A arrangements will be included in your presenter instructions.

  • Programme note: The programme depends on accepted and registered presentations and is emailed to registered participants when ready.

Oral Presentations

How it works — You present your research in person at the venue within the standard 15-minute allocation, usually with slides. Session assignment and Q&A arrangements are communicated in your presenter instructions.

Essential preparation checklist

  • Rehearse so that your talk fits the 15-minute allocation.

  • Prepare your slides in PowerPoint or PDF and check embedded images, charts and videos.

  • Bring a backup copy of your presentation, for example on a USB drive.

  • Name your file with your family name and, when known, your session.

  • Arrive early on your presentation day to load and test your file, following your presenter instructions.

Slide and delivery advice

  • Use readable fonts and limit the text per slide; the audience should listen to you, not read the screen.

  • Use figures and charts with a purpose, with enough contrast to be read from the back of the room.

  • Follow a clear sequence — context, method, findings, conclusion — and explain specialist terms for a mixed academic audience.

  • Rehearse aloud at least once with a timer.

Equipment and technical assistance

Standard presentation equipment is available at the venue on request; the confirmed list and file-compatibility details are sent with your presenter instructions. If you have special technical requirements, contact us in advance so we can confirm what is possible.

Practical notes

Slides are brought by the presenter and loaded on the day unless your presenter instructions say otherwise. Do not send slides through the submission-update form. For policy matters, see the Terms & Conditions.

Poster Presentations

How it works — Your poster presents the research visually at the venue. You should be at your assigned poster space during the communicated poster session to explain your work and answer questions. A poster session is a discussion format, not a timed talk.

Poster specifications

Size A1 (594 × 841 mm), portrait orientation.

Printing and delivery

  • Print your poster before you travel and bring it with you; posters are not printed at the conference.
  • Posters are mounted on the boards provided; mounting materials are available at the venue.
  • Do not use foam core, thick or multi-layered materials, or pushpins.
  • Collect your poster at the end of the session as instructed.

Design advice

  • Show the research title, author names and affiliations clearly at the top.

  • Give a clear question or objective, concise methods, the main findings and a conclusion.

  • Use purposeful visuals and text large enough to read from about one metre away.

  • Include verified references where appropriate, and ask a colleague to check readability before printing.

Attendance and changes — Presenters attend their assigned poster session. If you can no longer travel, contact us about switching to virtual participation under the rules in the Terms & Conditions; a switch is not automatic.

Virtual Presentations

How it works — You join the live online session and present your research with shared slides. The academic journey is the same: submission, double-blind review, acceptance, then registration and payment.

  3. acceptance
  4. registration and payment

Timing and joining instructions

The standard allocation is 15 minutes per presentation; Q&A arrangements are confirmed in your presenter instructions. Your session time in UK time and your private joining details are emailed to registered virtual presenters before the conference. Join early as instructed in that email. Joining links and passwords are never published on this website.

Technical checklist

  • A reliable internet connection, ideally wired.

  • A tested microphone and camera.

  • Tested screen sharing with your slides and any media.

  • A quiet, well-lit environment with notifications switched off.

  • A test of the actual platform before your session, using the instructions in your joining email; technical support contact details are provided there.

Documents and publication

Virtual presenters receive their certificates under the same registration rules as in-person presenters. Publication follows the Publication page: accepted and registered abstracts in the ISBN Abstract Book; eligible full papers in the proceedings; journal opportunities decided by journal editors.
